Instructor - Required Documents
The Instructor status of residence is for activities involving language education or other education at elementary schools, junior high schools, high schools, specialized training colleges, miscellaneous schools, etc. in Japan.

Category Classification of Affiliated Organization
Required documents vary depending on the category of your affiliated organization. Please confirm your applicable category first.
Category 1: Working full-time at an elementary school, junior high school, high school, secondary education school, or special needs school
Category 2: Working full-time at other educational institutions not listed above (specialized training colleges, miscellaneous schools, etc.)
Category 3: Working part-time

Important Notes Before Applying
- Required documents vary depending on the category of your affiliated organization. Please confirm the Category Classification of Affiliated Organization above first.

- If the application is submitted with incomplete documents, the examination may be significantly delayed or the application may be denied.
- All certificates issued in Japan must be submitted within 3 months from the date of issuance.
- Documents written in a foreign language must be accompanied by a Japanese translation.
- Submitted materials will not be returned in principle. If you wish to have them returned, please inform the office at the time of application.
- You may be asked to submit additional materials during the examination.
Application for Certificate of Eligibility (New)
This is the application for those who wish to newly enter Japan with the Instructor status of residence.
Common Required Documents (All Categories)
1. Application for Certificate of Eligibility - 1 copy
2. Photo - 1
4cm (height) × 3cm (width), taken within 6 months before the application, front-facing, without hat, plain background. Write the applicant’s name on the back of the photo and attach it to the photo section of the application form.
3. Return envelope - 1
Write the recipient’s address on a standard envelope and affix stamps for simplified registered mail (404 yen).
Additional Documents for Category 1
Only the above common documents need to be submitted. Additional documents are not required in principle.
Additional Documents for Categories 2 & 3
Categories 2 and 3 must submit the following documents in addition to the above common documents.
4. Documents proving the content of activities (whichever applies)
- If concluding an employment contract: A copy of the notification of working conditions based on Article 15, Paragraph 1 of the Labor Standards Act and Article 5 of the Enforcement Regulations of the same Act
- If engaging in work under a contract other than employment: A copy of the work engagement contract (if engaging in work under contracts with multiple organizations, contracts with all organizations)
5. Documents proving the applicant’s background
- (1) Resume - 1 copy, specifying the organizations where the applicant was engaged in related duties and the content and duration of activities
- (2) Whichever applies:
- (a) University graduation certificate or documents proving completion of education equivalent to or higher than university, or documents proving the conferment of the title of Professional or Advanced Professional
- (b) A copy of license or other documents proving possession of qualifications
- (c) If providing foreign language education: Documents proving completion of 12 or more years of education in the relevant foreign language
- (d) If providing education in subjects other than foreign languages: Documents proving 5 or more years of practical experience in teaching the relevant subject
6. Documents proving the business content
- (1) Brochure with detailed information on the workplace’s history, officers, organization, business content, etc.
- (2) Other documents prepared by the workplace equivalent to (1)
- (3) Certificate of registered matters
Additional Documents for Category 3 Only
Category 3 must submit the following documents in addition to the above additional documents for Categories 2 & 3.
7. Copy of financial statements for the most recent fiscal year - 1 copy
For new businesses, submit a copy of the business plan instead of financial statements.
Application for Change of Status of Residence
This is the application for those who are already residing in Japan with a different status of residence and wish to change to the Instructor status of residence.
Common Required Documents (All Categories)
1. Application for Change of Status of Residence - 1 copy
2. Photo - 1
4cm (height) × 3cm (width), taken within 6 months, front-facing, without hat, plain background. Not required for those under 16 years of age.
3. Passport and residence card
Present them (if unable to present a passport, a statement of reasons explaining why).
Additional Documents for Category 1
Only the above common documents need to be submitted. Additional documents are not required in principle.
Additional Documents for Categories 2 & 3
Categories 2 and 3 must submit the following documents in addition to the above common documents.
